01 / Scope
This Policy explains how Algebra Softech handles personal information through the Shadow website and software. An organisation deploying Shadow may act as the controller of workplace data and should provide its own employee notice.
02 / Website enquiries
When you submit the contact form, we receive your name, work email, company, team size, message and consent confirmation. The website sends this information by Gmail SMTP to Algebra Softech. We use it to respond, arrange demonstrations, prevent abuse and maintain business correspondence.
03 / Product audio
Shadow is designed around consent-based capture. Audio is held in memory for processing and is not permanently stored by default. A visible listening indicator tells the user when capture is active. System-audio capture is disabled by default and can be controlled by company policy.
04 / Transcripts and answers
Transcript retention is set to zero days by default. Transcript and audio content are not written to the metadata audit log. If an organisation changes retention settings or connects an external AI provider, its administrator must document that processing and configure an appropriate lawful basis, retention period and access policy.
05 / Providers
When a cloud speech or AI provider is enabled, audio, transcript, context and prompts necessary for the request may be sent to that provider. Provider credentials remain in the service and are not exposed to the desktop companion. The provider’s privacy terms and the organisation’s contract govern provider-side processing.
06 / Audit and security
Shadow can record metadata such as request timing, authorised Windows identity, outcome, duration and provider mode. The local components communicate through Windows-authenticated, signed and encrypted IPC. Access controls, credential protection, device security and central administration remain the deploying organisation’s responsibility.
07 / Screen sharing
Capture privacy is an explicit, policy-controlled setting. When enabled, compatible screen-sharing tools exclude Shadow’s floating window while it remains visible only to the local user.
08 / Retention
Website enquiries are kept only as long as reasonably necessary to respond, manage the business relationship, protect the service and meet legal obligations. Product-data retention is controlled by the deploying organisation. No permanent audio storage and zero-day transcript retention are the default local settings.
09 / Sharing
We do not sell contact-form information. We may share information with service providers needed to operate communications, with an organisation administering Shadow, when legally required, or to protect users and the service.
10 / Your choices
You may ask about, correct, or request deletion of information you submitted, subject to applicable law. Workplace users should first contact their organisation’s administrator for product-data requests.
11 / Contact
Privacy questions and requests can be sent to algebrasoftech@gmail.com.
